Why office moves go wrong on the technology side
The usual failure in an office move isn’t one big mistake. It’s five contractors each doing their part, with nobody responsible for the whole. The internet is ordered too late, so the new office opens on a mobile hotspot. The cabler finishes before anyone has decided where the access points and cameras go, the phones are moved by a provider who has never seen the network, and on move-in day each of them points at another.
We take the whole communications side as one project. Internet, cabling, Wi-Fi and network, phones, cameras and door access are planned together, scheduled against the builder’s programme, and tested before staff arrive.
What we do, and when
Before the lease is signed. Qualify the new address for internet. Two buildings on the same street can have entirely different options, and the service a business depends on may need construction. That’s worth knowing while there’s still a choice of building. Internet lead times for a new tenancy explains why.
The week the lease is signed. Order the internet service. It often has a longer lead time than the fit-out itself. If it won’t arrive in time, plan a 5G service to bridge the gap.
During design. Mark up the floor plan with desks, meeting rooms, access points, cameras, doors and the comms room. Decide the cable category and the spare capacity in the rack. Adding outlets now costs very little; adding them after the ceilings close costs a lot.
During the fit-out. Run the cabling, by an ACMA registered cabler, while the ceilings are open, coordinated with the builder and electrician. Build the comms room with power and ventilation for what will go in it.
Before move-in. Install and configure the gateway, switching and Wi-Fi. Port the phone numbers to 8x8 on a scheduled date and train staff before cutover. Commission the cameras and door access. Test everything with the internet service live.
Move day and after. Handover includes test results, documentation and as-built drawings, and the same team supports the site afterwards.
Opening a second site
The same plan applies when a business opens another site rather than moving. The aim is a second office that works exactly like the first: the same network design, the same Wi-Fi names, the same phone system and the same documentation, managed from the same consoles. Hardware can be configured and pre-staged in Melbourne before it ships, which suits regional and interstate branches too.
Where our part stops
We cover the communications layer of the move. Desktops, servers and business software stay with your IT provider or internal IT, and we agree the hand-off with them early. Likewise, electrical work, joinery and building works belong to the builder and electrician. We coordinate with them rather than replace them.

- Before the lease is signed, if possible. Checking what internet the new address can get is free, while some services need construction that takes months. After that, the earlier we see the floor plan, the easier it is to get cabling in before the ceilings close and the comms room in the right place.
- Can we keep our phone numbers when we move office?
- Yes. With a cloud phone system the numbers aren't tied to the building, and moving onto 8x8 as part of the relocation lets the old carrier's numbers be ported on a scheduled date. Old services stay active until the port completes, so nothing is cut off early.
- Do you look after computers and servers in the move as well?
- No. We cover the communications side: internet, cabling, network, Wi-Fi, phones, cameras and door access. Desktops, servers and business software stay with your IT provider or internal IT, and we agree the hand-off with them early so nothing falls between the two.
- What if the internet won't be ready by move-in day?
- We plan for it rather than hoping. A business 5G service can usually be put in place much faster than a fixed connection and run the office until the fixed service arrives, then stay on as failover afterwards.
- Can you work after hours so we don't lose a trading day?
- Yes. Cabling and cutover work can be scheduled after hours or on weekends, so the old office keeps trading until close and the new one is working the next morning.
